A good project kickoff aligns everyone on goals, scope, roles, and risks before any work begins. A bad kickoff—or none at all—leads to misaligned expectations, duplicated effort, and preventable surprises. Investing 60 minutes upfront can save weeks of rework down the road.
What to Cover
Keep the agenda tight and focused on decisions, not presentations. Every kickoff should answer five questions: Why are we doing this? What does success look like? What is in scope and out of scope? Who is responsible for what? What are the biggest risks?

- Scope: what is included and explicitly excluded
- Team roles and decision-making authority
- Key milestones and target dates
- Known risks and open questions
Who Should Be There
Invite the people who will do the work and the people who need to approve the results. For most product teams, that means the product manager, engineering lead, designer, and any key stakeholders. Keep the group small—more than ten people turns a kickoff into a broadcast rather than a conversation.
If remote team members cannot attend synchronously, record the session and share a written summary with action items. Alignment matters more than attendance.
After the Kickoff
The kickoff is only useful if its outcomes are documented and accessible. Write up the scope, roles, milestones, and open questions within 24 hours. Store them where the team works—not in a slide deck that nobody will open again.

Kickoffs for Small Projects

The key elements are the same—goal, scope, roles, timeline—just delivered in a lighter format. The rule of thumb: if the project involves more than two people or spans more than two weeks, a synchronous kickoff is worth the time.
